Making new project sites faster and more consistent

A steel industry consultancy was spending too much time setting up SharePoint sites by hand and every site ended up looking and working differently. We fixed that with a reusable template system that handles everything automatically.
THE PROBLEM
The business ran multiple client projects at once. Each time a new project kicked off, someone had to manually build a SharePoint site from scratch adding folders, lists, navigation, and branding each time. It was slow, repetitive, and the result was inconsistent across the team.
- Every project site looked and worked differently, making it harder for staff to navigate unfamiliar ones
- No standard template existed for external client portals, so they varied in quality
- New sites had no link to their Microsoft Teams channel, so people couldn't get there easily
- There were no clear rules about who could access what, especially for external partners
WHAT WE BUILT

A ready-to-go project site template
We built a site template that, when triggered, automatically creates the right folders, document libraries, lists, navigation structure, and branding. Every new project site now starts from exactly the same foundation no manual setup needed.

A separate template for client-facing portals
External portals need a different look and feel. We built a second template specifically for these, so client-facing sites are consistently professional without extra effort.

Automatic Teams channel linking
We identified a Microsoft platform limitation Teams channel links can't be added at the moment a site is created because Teams takes time to finish setting up. We solved this with an automated flow that waits for Teams to finish, then adds the link itself. Nothing for the team to do manually.

A clear permissions structure
We put in place a documented set of rules covering who gets access to what including how to handle external partners and clients who don't have Microsoft accounts.

An energy sector business wanted to know how their team was actually using Microsoft 365 tools day to day email, Teams, SharePoint, OneDrive — and see it all in one place. The data existed, but getting to it required building something custom.
THE PROBLEM
Management had no way of seeing, in one place, how the team was engaging with the tools the business paid for. Usage data existed inside Microsoft's systems but it wasn't easy to get out, and certainly not in a format that updated automatically every day.
- No reporting existed for Microsoft 365 usage across the organisation
- Microsoft's built-in admin reports can't feed into Power BI automatically without custom work
- Sign-in data like when someone first logged in, or how long they were active lives in a completely separate part of Microsoft's systems
- A one-off manual export wasn't enough the team needed fresh data every morning, automatically
WHAT WE BUILT
01
Secure access to Microsoft's data
We registered a dedicated application inside the client's Microsoft environment with the specific permissions needed to read usage reports and sign-in data. This is the secure, supported way to pull that data automatically no screen-scraping, no workarounds.

An automated daily data export
We built a script that runs every day, connects to Microsoft's data using that secure app, pulls the latest usage figures, and formats them ready for the dashboard. The team doesn't have to touch it.

A live Power BI dashboard
The data feeds into a Power BI report that management can access directly. It shows the last 30 days of activity per person emails sent and received, SharePoint visits, OneDrive use, Teams meetings, and sign-in times updated daily.

A plan for full automation
After signing off the working prototype, we agreed a specification to make the whole pipeline run without any manual involvement at all ready to implement in the next phase.
